PTO Family Fun Night Rentals Wrentham MA: An Hour-by-Hour Run of Show

Answer: A Wrentham PTO family fun night works best as a two-hour evening, 6:00 to 8:00 PM, with the rentals loaded in after classes, a volunteer huddle at 5:15, and two waves of kids so the line at every game stays short. File the district's Facilities Use Application early, pick a date that avoids the January 18 federal holiday, and send us the room and load-in window so we can schedule the crew. Winter is when Wrentham PTO volunteers look for a reason to get every family back inside the school after the holidays. A game night in a gym is that reason. This plan walks through the evening clock block by block, so the committee knows who is doing what at 5:15, at 6:40 and at 8:05.

The example night below is Friday, January 29, 2027. Shift every time if your committee picks another evening.

Before the clock starts: the Wrentham paperwork

Every group that wants a Wrentham Public Schools room fills out the district's Facilities Use Application, and the district asks for it by email when possible. The form lists these spaces: Gibbons Gym and a conference room in the Janelli Annex, the Delaney School cafeteria, the Roderick School cafeteria/gym and Raymond Library, and Rooms 4 and 5 in the Vogel School. Kitchen use carries an extra facility fee.

The district's reservation page puts school-related organizations such as the PTO second in line, right after events the schools run themselves. Its fee sheet sorts renters into six groups and charges nothing for groups 1 and 2, while other groups pay hourly rent plus custodial labor. Ask the Superintendent's office, (508) 384-5430, which group your committee falls under before you set a ticket price.

The fee sheet also says school liability insurance does not cover outside use, so the applicant certifies its own coverage and notes whether a certificate is on file. AJT can provide additional insured certificates. Request one when you book so it can go in with the application.

Choosing the night on the 2026-27 calendar

The district calendar, approved by the School Committee on May 19, 2026, has school closed for New Year's Day and again on Monday, January 18, for Martin Luther King Jr. Day. The application form says facilities are not available on federal holidays, so MLK Monday is out. Term 1 ends Friday, January 22, and January 28 is an early dismissal day for teacher training.

February break runs February 15 through 19, so a family night the first or second Friday of February catches families before they leave town. Late January has one more quirk: Hebcal puts the Wrentham sunset at 4:56 PM on January 29, so the parking lot is dark well before doors open. Put a volunteer with a flashlight at the entrance.

After classes: load-in

The district says buildings are open and staffed from 7 AM to 10 PM on full school days, which makes a Friday after dismissal the easiest load-in. Tell us the room, the door closest to it and any steps on the way, and we will confirm a crew arrival time with your booking. Our team delivers from 67 Neponset Ave in Foxborough, next door to Wrentham.

Have the committee contact walk the crew to the exact spot, point out the outlets, and stay until each unit is up and tested.

5:15 to 6:00 PM: volunteers and warm-up

Give each station one adult lead and one helper. The Wrentham PTO has asked volunteers for an updated CORI before past events, and the District Office handles CORI requests along with facility reservations, so check this in December, not the night of.

The district fee sheet starts the custodial labor charge a half hour before the event and ends it a half hour after, so 5:30 is when that meter would begin for a 6:00 start. Plug in the Popcorn Machine ($75) now; the Cotton Candy Machine ($75) needs an outlet within reach too. Both are machine-only rentals, so the snack lead buys kernels and floss sugar ahead of time.

6:00 to 6:50 PM: wave 1 for the younger grades

Delaney serves preschool through grade 3, so the first wave is the little kids and their grown-ups. For them, the Toddler Forest Playground ($180) has walls built to keep young climbers inside and needs a 25 x 20 ft patch of floor. The Lucky Ring Toss ($250) is easy to play, a gentle first stop for small hands.

Want a moment at the door? The Inflatable Tunnel ($200, 16.5 x 10 ft, 11 ft tall) turns the entrance into a run-through welcome.

6:50 PM: the swap

Ten minutes of announcements, a raffle draw or a quick word from a principal gives station leads a breather and moves families toward the treat table. During the swap, the younger families head for popcorn while older siblings line up.

7:00 to 7:50 PM: wave 2 for grades 4 to 6

Roderick kids want competition. Zap-A-Mole ($400, 10 x 5 ft, 6 ft tall) pits two players against each other for 45-second rounds, which works out to roughly 40 rounds in half an hour before changeovers. The Double Dunk Basketball Game ($300) needs 15 ft of clearance plus a margin, so get the ceiling height from the custodian.

The Wacky Obstacle Course ($350) runs 30 x 10 ft at 9 ft tall, a long, low unit that fits along one gym wall. For a prize corner, the Claw Machine ($400) is a smaller unit, 1.5 x 2 ft and 5.5 ft tall, stocked with 25 themed stuffed animals.

7:50 to 8:30 PM: last call, reset and pickup

Call last turns at 7:50 so the room is empty by 8:00. The district's security page limits after-hours guests to the approved area, the direct route to it and the nearest restrooms, so the door team keeps families moving toward the exit. Stack the chairs, sweep up popcorn, and keep the committee contact on site until our crew finishes the pickup.

If a nor'easter threatens delivery day, your committee makes the call by 8 AM, and the details sit on our weather and cancellation policy page.
